Invite a collaborator with the correct role and safely manage pending invitations.

Before you start
Viewer may be non-billable while other roles can affect seat billing; current plan and custom-role rules apply.
- Sign in with an individual account in the correct organization.
- Confirm your role permits the requested change.
- Record the current state and intended owner before making a production-impacting change.
Step by step
- Review need and cost. Confirm person, email, role, team, event scope, and whether the role is billable.
- Open Organization → Members. Confirm active organization.
- Invite member. Enter the exact individual email and choose the minimum suitable role.
- Send and communicate. Tell the recipient the expected organization and access through a separate trusted channel.
- Review Pending Invitations. Check email, role, age, and status.
- Resend only when needed. Use Resend, then instruct the recipient to use the newest email.
- Cancel stale or wrong invitations. Cancel mistyped, duplicate, withdrawn, or expired access requests.
- Verify acceptance. Confirm the person moves into the member list, then add team/event access.
What success looks like: The requested change is applied to the intended organization, is visible after refresh, and grants no more access than required.
Check your setup
- The intended person accepts once with the correct role.
- No stale invitation remains usable.
- Billing seat impact matches the approval.
Troubleshooting
Invite not received
Verify spelling, spam/quarantine, allowlisting, then resend once.
Recipient sees invalid link
Cancel/resend and use the newest invitation while signed into the matching email.
Invite action unavailable
Check owner/admin role and plan/member limit.
Security and operational notes
- Never forward invitations.
- Use named accounts and minimum roles.
- Review pending invitations regularly as an access-control list.
