Quick Start for Remote Caption Operators

Operate the permitted event controls remotely while preserving the host’s device ownership, security, and session state.

Best for: Remote caption operators, backup producers, language operators, and support personnel with explicit Remote Control permission.

Before you start

Remote Control must be enabled for the event, included in the organization’s entitlements, and allowed by the operator’s role. The Live Setup host must be connected for device-backed operations.

• An individual 4All account in the correct organization.
• An authorized Remote Control link or event access.
• A role with the exact required scopes.
• A communication channel with the host and production lead.

Quick start

1. Authenticate with your own account. Open the Remote Control destination, sign in if prompted, and confirm organization, event, controller name, and permission scopes.
2. Wait for the host. The Live Setup host owns microphones, sanitized device information, routing, and the active session. If the host is absent, coordinate before any takeover workflow.
3. Review state before changing anything. Confirm live/offline status, source and target languages, audio meters, routing summary, caption output, provider health, and recent audit actions.
4. Make only scoped changes. Adjust the controls your role permits. Announce material changes such as provider, language, routing, caption tuning, glossary, output state, or Go Live/Stop.
5. Use presence and audit information. Check who else is connected and avoid competing changes. If a control moves unexpectedly, stop and coordinate rather than fighting the state.
6. Handle disconnects conservatively. Do not assume the event stopped. Reconnect, verify current state, review audit history, and ask the host to confirm final output.
7. Exit cleanly. Leave controls in the agreed state, communicate handoff, confirm the next operator, and sign out from shared or temporary machines.

What this unlocks: The remote operator can perform authorized tasks, the host retains device ownership, simultaneous changes are coordinated, and all significant actions are auditable.

Check your understanding

• The controller name appears in presence/audit information.
• Unauthorized controls are absent or disabled.
• A permitted test change is reflected at the host and final output.
• Disconnect/reconnect restores the correct current state without taking over.

Common misconceptions

Remote Control is off

Ask an authorized administrator or producer to enable it in Live Setup and confirm the plan entitlement.

Host unavailable

Open the event in Live Setup on the machine that owns the microphones, or follow the approved takeover procedure. Remote Control alone cannot invent device ownership.

Permission revoked or authentication failed

Stop changes, reauthenticate, verify role/team/event access, and ask an administrator to review scopes.

Good to know

• A Remote Control URL is an operational destination, not a public audience link.
• Do not use shared accounts or leave an authenticated controller open on an unattended computer.
• Remote Control must not be used to silently take over an active producer session.
