Understand the host/controller relationship, sanitized device state, simultaneous users, and connection health.
Best for: Event producers, display operators, accessibility leads, broadcast/AV engineers, web teams, and authorized remote operators.
Before you start
Availability depends on event access, plan entitlements, destination enablement, language configuration, and supported browser/display/network behavior.
- Use the correct event and final source/target language configuration.
- Know the physical or web destination, resolution, audience, privacy level, and monitoring owner.
- Test the final receiving screen, embed, graphics path, or operator device—not only the setup preview.
Step by step
- Identify host. The active Live Setup machine owns microphones and routing.
- Connect host first. It publishes sanitized device/routing state to authorized controllers.
- Join as controller. Authenticate and confirm event/scopes.
- Review presence. See connected controllers and coordinate ownership.
- Observe before editing. Check current live/provider/audio/language/output state.
- Handle host disconnect. Do not assume event stopped; reconnect host or follow takeover policy.
- Handle controller disconnect. Reconnect and re-read state/audit before changing.
- Handoff. Name the next operator and remove stale presence/access.
What success looks like: The intended audience or operator receives the correct event, language, styling, and control level with a documented reconnect and fallback path.
Check your setup
- Host/device ownership remains unambiguous and concurrent controllers do not fight state.
Troubleshooting
Devices empty
Host absent or not sharing state; open Live Setup on source machine.
Presence stale
Refresh/reconnect and confirm session/audit.
Host reconnect conflicts
Coordinate and inspect authoritative ownership.
Security and operational notes
- Device information is minimized but operationally sensitive.
- Keep out-of-band communication.
- Do not use Remote Control to silently take over.
