Before you start

Viewer is generally the non-billable baseline; other roles can affect subscription seat quantity according to the active billing model.

  • Sign in with an individual account in the correct organization.
  • Confirm your role permits the requested change.
  • Record the current state and intended owner before making a production-impacting change.

Step by step

  1. Inventory roles. List active members, default/custom roles, teams, and current assignments.
  2. Classify business need. Separate viewers, occasional operators, ongoing producers, admins, and owners.
  3. Check billable status. Review the plan and role classification before assignment or invitation.
  4. Use custom roles for scope, not cost evasion. Grant the actual minimum actions and follow billing policy.
  5. Time-bound elevation. Approve start/end times for temporary privileged production work.
  6. Reconcile subscription seats. Compare billable members with Billing and resolve discrepancies.
  7. Review on cadence. Remove dormant access and document exceptions.

What success looks like: The requested change is applied to the intended organization, is visible after refresh, and grants no more access than required.

  • Seat counts match approved people and every privileged/billable role has a current operational justification.

Seat count did not fall

Check pending changes, subscription update timing, other billable roles, and billing reconciliation.

User loses event access after downgrade

Add the minimum team/event/custom permission instead of restoring broad admin.

Unexpected charge

Compare membership timeline, role classification, invoice period, and plan rules; contact billing support with IDs, not secrets.
